TL;DR Doinel Atanasiu is a software engineer and AI automation consultant based in Italy who designs and builds custom automations for European SMEs. He takes the manual, repetitive work out of processes such as entering orders into the company's management software, drafting quotes on WhatsApp, sorting incoming email and handling documents. The solutions adapt to the software the company already uses, at a fixed price, on accounts in the company's name, with EU-based services first and the level of human oversight the company chooses.

Custom AI automation for SMEs

I take the manual, repetitive work out of your company using the tools you already have: orders, quotes, email, documents. I design the system, build it and stay your single point of contact, from the first AI consulting session to launch.

Why ChatGPT alone isn't enough

Many SMEs already use ChatGPT. You copy an email, upload an attachment, ask for an answer, fix the result and type it into your management software or a message. The AI speeds up one step, but the work stays yours from start to finish, and every time it interrupts whatever you were doing.

Meanwhile the information is scattered across emails, chats and spreadsheets. It gets hard to tell where a job stands, what it really costs you and where to pick up next time.

My work starts with the process. We look at how you work today, agree formats and rules, and only then give the AI the specific task it's good at.

What I build

These are the two services with a published case:

  • A custom AI assistant reads customer requests on WhatsApp and drafts quotes from your price list. You approve every message before it is sent.

  • A custom AI system reads orders from email or WhatsApp, as PDF, Excel or photos, and enters them in your management software. You choose how much to check.
    Workflow automationDocument data extractionHuman-in-the-loopAI cost control

In the two published cases:

  • Orders: from 3-4 minutes to about one per attachment, by the estimate of the administrator of a metalworking manufacturer in central Italy.
  • Quotes: from about 30 to 10-15 minutes per quote, by the estimate of the owner of a home-maintenance company in Milan, Italy.

Other processes I can automate

Orders and quotes are the examples with a published case. The same method applies to other manual processes, for example:

  • sorting incoming email;
  • handling documents and attachments;
  • communicating with customers;
  • custom management software;
  • repetitive steps between one program and the next.

If a task eats hours every week and isn't on the list, write to me anyway and we'll work out together whether it's worth automating.

Who it's for

I work with SMEs in every sector. How you work matters more than your sector. This fits if:

  • a task repeats every day or every week, always the same way;
  • its rules can be written down, even if today only one person knows them;
  • someone spends hours retyping data, answering the same requests or moving information between programs;
  • you want to keep the management software and tools you already have.

The technology adapts to your company

Your management software, inbox, WhatsApp and the licences you already pay for all stay in place. The system connects to your management software through its API when it has one, and prepares an import file when it doesn't. You and your team keep working in your own programs.

How I work

  1. First call. You walk me through the process and where the time goes. It's free.
  2. Process analysis. We map how you work today and what can be automated.
  3. Fixed-price quote. You know the cost before anything starts.
  4. Build and testing. I build the system and test it on your real cases.
  5. Training and launch. I show you and your team how to use it and how to change its rules.
  6. Warranty. For 15 working days after the production release, I fix any errors and bugs at no extra cost. New requests, meaning changes or features that weren't quoted, are assessed separately.
  7. Maintenance, if you want it. It covers ongoing support and updates.

Why the risk stays low

  • The system is yours. Accounts and infrastructure are in your company's name, with full access. If you ever decide to stop working with me, another developer can take it over.
  • You change the settings yourself. Price lists, rules, AI instructions or senders to ignore.
  • You choose how much control to keep. The AI can act on its own, or prepare the work and leave the final check to a person. Every step stays traceable.
  • Your data stays under your control. I pick EU-based services whenever possible, and everything runs on accounts in your company's name.

Working with me from abroad

I'm based in Italy and work with companies across Europe. Calls, process analysis, testing and training all run remotely by default, and I travel on-site when a project needs it. I work in English and Italian.

Tell me which process takes most of your time

Write to me with the task you'd like to take off your or your team's plate, how often it repeats and which programs you use. I'll reply with a first assessment. If it makes sense, we'll set up a free call, and you decide only after seeing the quote.

FAQ
Common questions and answers
What processes can AI automate in a small business?
Manual, repetitive processes that follow rules you can write down, for example entering orders into the management software, drafting quotes, sorting incoming email and handling documents and attachments. The starting point is always an analysis of how the company works today.
My process isn't one of the examples. Can you still help?
Yes, if it repeats regularly and follows rules that can be written down. On the first call we work out together whether automating it pays off, and which part of it.
Do I need to replace my management software?
No. The automations adapt to the software the company already uses: they connect through its API when it has one, and prepare an import file when it doesn't.
What does a custom AI workflow cost?
The build has a fixed price, set after the process analysis, because it depends on formats, exceptions and integrations. In the two published real cases, AI usage was about $10 over six months for 300 PDF order attachments, and about $30 over two months for 95 WhatsApp conversations.
AI makes mistakes. How can I trust it?
We decide together how much to leave to the AI: it can act automatically, or prepare the work and leave the final check to a person. Where an error costs money, I recommend the second. Notifications and statuses keep every step traceable.
What happens if you're no longer available?
The system belongs to the company: accounts, infrastructure and access are in its name. Maintenance is optional, and any developer can take it over.
Is our data safe?
EU-based services are the first choice; US services are used when there is no practical alternative. Either way, everything runs on accounts in the company's name, so the company keeps full control of its data and access.
Will my team actually use the system?
The system is built around how the team already works, with the programs they know, and training is included in the project.
Can you work with a company outside Italy?
Yes. The work runs remotely by default, from the process analysis to training, with on-site visits when a project needs them. Communication can be in English or Italian.
